    Document legalistion checklist

A clear, step-by-step checklist to help ensure your UK documents fully meet apostille, FCDO apostille UK and embassy legalisation requirements before submission, reducing delays and errors.

Why do you need an apostille?

An apostille is required when using UK documents in Hague Convention countries, providing official certification through the FCDO apostille UK process.

This simplifies international document legalisation by removing the need for embassy attestation, ensuring fast and recognised acceptance abroad.

Whether for employment, study, business expansion, marriage or residency, apostille services ensure your UK documents are legally recognised and ready for international use without delays.

Documents we legalise

We provide fast apostille and legalisation services for a wide range of UK-issued documents, ensuring full compliance with FCDO apostille UK and international requirements.

Common documents we legalise include birth certificates, marriage certificates, HMRC documents, DBS and ACRO police certificates, academic qualifications, notarised documents, powers of attorney and corporate documents.

If your document is not listed, contact our team for expert guidance on the correct apostille, certification and legalisation process.

How to get your document legalised

Step 1 – Identify the legalisation requirement

To legalise your UK documents correctly, you must first identify the requirements based on the destination country.

Hague Convention countries require an apostille only through the FCDO apostille UK service.

Non-Hague countries require further embassy attestation or consular legalisation after apostille.

Understanding the correct process ensures your documents are accepted internationally without delays.

Step 2 – Prepare your documents

To proceed with apostille and legalisation, your documents must comply with UK requirements.

Only UK-issued or officially certified documents can be legalised.

Certain documents require solicitor or notary certification before submission.

We review your documents to ensure they meet FCDO apostille UK standards, helping to avoid delays and ensuring a smooth legalisation process.

Step 3 – Place your apostille order online

Select your documents and place your apostille order online.

Send your documents to our office for fast and secure processing.

We handle the complete submission to the FCDO apostille UK service and other relevant authorities.

Solicitor or notary certification can be arranged where required, ensuring a fast, efficient and fully compliant legalisation process.

Step 4 – Additional attestation (if required)

For non-Hague Convention countries, additional embassy attestation is required after apostille.

We handle the full embassy legalisation process, including coordination with the relevant embassy, completion of all required procedures and ongoing status updates, ensuring your documents are fully compliant and accepted internationally.

Step 5 – Receive your apostilled and legalised documents

After completion of the apostille and legalisation process, your documents are returned quickly and securely.

They are fully compliant and ready for international use.

We provide fast UK and worldwide delivery options with tracking.

Our team remains available to assist with any additional apostille, FCDO apostille UK or embassy legalisation requirements.

Please review the following information

Following these guidelines will help avoid delays and ensure your documents can be legalised without issues.

  • Only send in the documents you require to be legalised.
  • Signatures signed “per pro” (p.p.) are not accepted.

If there is more than one signature on the document which meets our requirements, you must confirm which signature you require to be legalised. If this is not stated, FCDO will legalise the most recent signature.

Certified Documents

If you are submitting documents that have already been certified, please provide the full contact details of the certifying solicitor or Notary Public, including their email address and place of practice. This allows signatures to be verified by the FCDO if required.

If your document is attached to a solicitor’s or notarial cover sheet, please ensure that all underlying documents meet UK legalisation requirements.

Where documents are certified by a solicitor, they must be registered with the FCDO to enable fast signature verification and to avoid delays in apostille processing.

This is particularly important for priority and same day apostille services under the FCDO apostille UK process.

Medical Documents

Documents signed by a medical professional must include full contact details for the signatory, such as their email address and place of practice. This information may be required by the FCDO to verify the authenticity of the signature.

Where documents are signed by a medical professional, they must be registered with the FCDO to ensure prompt signature verification and to prevent delays in apostille processing.

This is particularly important for priority and same day apostille services under the FCDO apostille UK process.

Education Certificates

Educational documents must be signed, dated, and certified by a UK solicitor, Notary Public, or an authorised official of the British Council.
If certified by the British Council, the original qualification certificate must be presented. Availability of this service may vary by location, so please check with your local British Council in advance.

Photocopies

Photocopies are not accepted for the following documents:

  • UK birth, marriage, death, civil partnership, or adoption certificates
  • Police and disclosure certificates issued by ACRO, DBS, Disclosure Scotland, or Access NI

This includes photocopies attached to other documents or included under a certified cover sheet.

Marriage Certificates

For original marriage certificates signed by a Minister of Religion or an Authorised Person, please include contact details for the signatory or the venue where the ceremony took place, including an email address.
This may be required to verify the signature.

Laminated or Hard-backed Documents

Laminated or hard-backed documents cannot be legalised, as an Apostille cannot be securely attached.
To proceed, the laminate or backing must be removed, or a replacement document must be obtained.

Incomplete or Multi-Page Documents

All pages of a document must be submitted together.
If a document contains multiple pages, every page referenced in the certification must be included. Incomplete submissions cannot be accepted for legalisation.

Reproduction of UK Apostilles

If you are submitting a document containing a reproduction of a UK
apostille, please note that it must not contain the FCDO Seal or the
signature of the FCDO official.

Attached Documents

All documents which are attached should be referenced in the
certification. Photocopies of General Register Office documents,
ACRO/DBS/Disclosure certificates and fingerprint documents cannot be
submitted as attached documents.

Doctor and solicitor verification for FCDO legalisation

Before submitting documents certified by a UK doctor or solicitor, it is important to ensure that the signature can be accepted by the UK Foreign, Commonwealth & Development Office (FCDO) for legalisation.

Verification for Doctors
If your document has been signed or certified by a medical professional, please provide:

  • The doctor’s full name
  • Their GMC registration number

We can check whether the doctor is correctly registered and eligible for FCDO legalisation.

Verification for Solicitors

For documents certified by a solicitor, please provide:

  • The solicitor’s full name
  • Their SRA registration number

We will confirm their registration status and whether their signature meets FCDO requirements.
